Export Transactions into a csv File

Is there a way to export transactions by a filter? I can make a report and export that, but it  just lists the total budgeted, not the individual transactions.

  • I don't think this is possible. When I need this, I just export the whole budget and then filter it in Excel or via a script.

      Tomato Cheetah In the upper left, click the down triangle next to the name of your budget, and choose Export Budget.

  • Definitely need this YNAB, a big short coming to not be able to export to CSV by individual transaction.  You folks are too smart to realize the benefit this gives the user when comparing what was imported vs. not imported, which happens often with auto-import issues with connected banks.  We need to see all our transactions in a CSV file for this purpose as well as when creating custom reports for researching income and expense data.  This does not protect you from losing customers, it only motivates us to switch to the competition.

    Please provide CSV exports by transaction asap!

  • Oh my goodness, this is so necessary. I have literally lost hours trying to get all my medical transactions into a form where I can find them an use them to calcualte my tax deductions. This has used up about half of the time I set aside to do my taxes. Exporting a budget to Excel is useless as the format is confusing and trying to get the transactions to make sense is difficult to impossible as not all the information comes through in the CSV or not in a form that is recognizable.

    Screenshots? Really? That's the option? I *did* that and pasted them into a word file and was all ready to go through a *print out* with a highlighter and then discovered that the search I used for the screen shots was not comprehensive and was missing things like the vision costs. So now I have to go back and do the search, screenshot, paste, print, highlight process again. YNAB 4 had this capability and I now *really* regret switching to the online version.

    In order to do my taxes effectively I would have to have *another* budgeting software like, what, Quicken?

    Please fix this.  And yes I put in a feature request.

  • Oh and I almost forgot. Some transactions come up twice because they are Dental AND Medical so I have to go through with a red pen AND a highlighter to be sure that I don't double count them.  On paper. By hand. I suppose I could use a pocket calculator or possibly an adding machine. Come ON folks.

      Sorry for the trouble! When you export your budget, there are two CSV files - one for your transactions and one for your budget. If you look at both files, are you still having trouble finding your transactions? They should appear with all of the entered details (date, payee, amount). We know this isn't ideal, but I hope that makes things somewhat easier for now.

      If you're still having trouble finding those transactions, please let me know!

    • Faness Yes I did find this although the fact that there were two files wasn't clear at first and the fact that I need the "register" file also wasn't clear. In order to get the file into usable form I had to first open it in Libre Office as Excel did strange things with the delimiting. *Then* I had to save it as an xlsx file and *then* open that with excel. From there on I could use the functions of excel after converting the data to a table and using the database functions. Fortunately I happen to know how to do this. If I could have simply exported a CSV file of my search results I could have saved approximately 4-5 hours of work. Really.

    • Slate Gray Mare Sorry for all of the extra steps! CSV files open in Excel by default on my computer, so I've never had to go through those conversion hoops. I'm happy you were able to find what you were looking for, but sorry to hear it was such a feat - I'm going to pass this along to our development team to see if we can make exporting those two separate files a clearer process.

    • Faness Yes highlighting the register file as the "go to" file for these kinds of tasks would be useful. However this doesn't really go far enough. What is really needed is an upgrade of the search function so that a user can use logical operators like AND, OR, NOT etc. the results of a search should then be able to be exported as a csv file. YNAB has powerful search functions but they are not fully useful without being able to export their results.

      Slate Gray Mare Can you not take the full CSV data and use logical operators on it? I mean, that's the path to accomplishing what you want without waiting on YNAB.

    • bevocat Yes, but what that means is that I need to convert the csv file into an excel database and then figure out how to apply logical operators in the XL universe. Seems like a lot to go through to get the cost of dentists and eyeglasses during 2018 out of YNAB.

      Slate Gray Mare do you have commas in your category names? That's the only think I've found that can mess up opening a CSV directly in Excel. When I export the 2 CSV files, here's what I do:

      * open the CSV using excel

      *add a filter on the top by hitting Ctrl-Shift-L.

      *Then I can use the filter on the date column,  the category group/category, category group, or category columns, or any of the others to get the items I want.

      *I select & copy it by going to cell A1 and pressing ctrl-shift-right arrow then while holding down the first two, press down arrow.

      *Copy and paste into a new tab & I have exactly what I wanted. 

      *If it's a report I will need to keep I can Save As (from the file menu) and change the file type to the latest version of excel.

  • This is very true. This is same   to what I feel with YNAB. Without this feature, I moved to   using another application. I am just following this thread hoping that they will add this feature and that I will "perhaps"  give YNAB a chance and go back using it.

  • I agree.  This is crazy.  Doing my taxes and simply want to select a category and print out all of the transactions associated with that category for the prior year.  This seems like a simple request.  YNAB??

      Currently, reports (like the Spending Report) can be exported, which might be helpful here.

  • Slate Gray Mare  Slate Blue Major I agree with all parties here that YNAB definitely needs to make the ability of exporting to a CSV file much more obvious, and hopefully they will take these complaints seriously soon. 

    Before giving up, keep in mind that you do have a simple solution here.  The benefit of a CSV file is that the file itself has lots of sorting and filtering capabilities.  You do not need to generate a report from YNAB at all, just export all of your transactions from the upper left drop down list by selecting 'Export Budget'.
      

    After you've exported your transactions, open the zip file to see the 2 files that were exported.  You only need to use the transactions file, not the budget file.

    With Excel, you simply need to open the transactions CSV file as it is to see all of your transactions.

    From there, you can filter your transactions to display any category, group of categories, payees, dollar amounts, etc. that you wish.  This will provide you a quick view of just about any subset of transactions you will need for taxes, budgeting, or just plain researching of your transaction history.

    NOTE:  When summing up all of your 'filtered' transactions, be sure to copy-paste them into a new worksheet 1st.  Your summations will then include just your filtered transactions.  Reply back if this is confusing.

    Also, if you are not familiar with filtering in Excel just Google it and you will find tons of 'How To' guides that are fast and easy to understand.  Most every application out there will export data to CSV files so that their users can use the many capabilities provided by Excel.

      Yes, this is indeed a method for how to go about this. I would only add that it is necessary to convert to table in in order to get XL to function as a database correctly and get access to the filter as a top-of-column drop down. 

      Now let me provide some context. I'm trying to do my taxes, while tracking my kids' upcoming dental appointments, the work I had to bring home that has Monday deadline, the weird sound the car is making, etc. I only have X-time for taxes and if it takes longer the dominos start to crash into each other. I start to work with YNAB and have distinct memory of finding and exporting transactions, but oop, that was in the not-online version. So am starting from a "cold" how-do-I-do-this start. First I have to figure out that YNAB really, really, really, now lacks this capability. Then I have to delve into help and forums to discover the "Export Budget" command, then I have to decipher that it is the second file *not* actually the budget file that I am interested in. Then figure out how to get XL to interpret a comma delimited file correctly using XL's prompts. Now it was just dumb luck that I happened to have looked up how to do a database in XL earlier, but if I hadn't known that it would have required at least another hour of Learning-Curve time including watching various youtube videos.  So now we are into *at least* additional hours three when all I wanted to know was how much money did I spend at the dentist, the doctors, and the pharmacies and the optometrists, to fill four lines on the tax prep worksheet.  I have to bag the "finish the taxes" line item for the weekend but not before I was trying to remember "Didn't I have Mint, at some point?" If I could have searched and exported those transactions as YNAB desktop could, I would, instead, have been done with my taxes.

      Slate Gray Mare Once you learn the tricks in Excel the process is much quicker. The first time you do anything is always the slowest.

      Here's some quick reference ideas again that should speed things up:

      The CSV files are labeled Budget and Transactions. Transactions holds all your transactions for all accounts

      If your CSV file doesn't open in Excel automatically when you double click it, right click & do open with and select the "always open with" option (it's a little check box & the wording is slightly different.

      ctrl-shift-L adds a filter to the columns. There's no need to convert it to a table first.

      Save As & selecting the latest excel version converts it to excel.

      What is going on with you file that it doesn't open properly in Excel directly? Commas in category names could shift everything over, is that what you are seeing? 

      Anything else that is still causing problems or slowing you down?

  • Hi.  I love YNAB.  It has change our lives.  Not exaggerating!  But I couldn't believe when I sat down to do my taxes today after 6 mos of family illness,  that I could not export filtered data.  Please make this a priority.  It is silly to have a robust tool for which we pay pretty significant fee that can't do this.

  • Echoing the OP but with a spin.  Need transactions and ONLY transaction.

    Split transactions should NOT be included in the budget export, since they are not transactions.

    I'm on board with exporting the full budget and using Excel for some quick filtering and sorting.  I'm better with PowerShell when it comes to the more complex comparisons of lists and arrays, so I'm using that too.

    I have manual entry for my accounts in YNAB, so I use excel/PowerShell to compare the entries with my bank to find missing or incorrect entries.

    The issue here is that the exported CSV is missing transactions that were split to multiple categories. Instead of the single transaction, it is listing each category as if it were an independent  transaction.  Needless to say I can't find that $ amount in my bank CSV. I've found a few instances of split transactions on the same date for the same payee, so I can't reliably script a method of combining them.

    For example:  I have one purchase for $51.20, and that amount shows up on my bank statement.  in YNAB, I have that entry split into three categories, $27.02,$11.23, and 12.95, which all add up to the number I would expect to see in the export, but the CSV has the three smaller values as if they were transactions and does not include the 51.20 at all.
