Scanning/Adding Receipts: Why?

Hey YNAB Forum-ers (okay, that needs work...)!

A pretty common request that comes through the feedback & feature request channels is the ability to be able to scan/attach a picture of a receipt to a particular transaction. 

So we've been curious for more detail on what that would allow you to do or make easier for you. Is it strictly an organizing need? Tax reporting? Small-business use? Something else entirely?

Hearing more detail about how people want to use it would help contextualize this one—thanks!

  • I feel relatively qualified to chime in here as I am a technical software consultant and I know what happens to software when it tries to be all things to all people:  the interface gets cluttered, bugs get introduced, performance suffers, and on and on.

    My $0.02 here would be:  YNAB is a budgeting app.  If you want a system of income / expenses with receipt attachment for business purposes (and don't want to invest a lot of $$$) check out Tap Forms....it's a database platform that is (relatively) easy to learn / use and I have an (I think) sophisticated and automated system that stores receipts and I can import them automatically.

    As an aside, somewhat off topic, I have a second TF database for personal "issues" where I can record things like billing disputes, house repairs, etc.  And another to track my houseplants...it's an amazing software (like YNAB!)

  • I have two budgets, one my personal budget and one for my Airbnb business.  I would love to be able to scan receipts for my business budget.  It might also be useful for my personal budget because then I would have receipts tagged to transactions and dates and I could add searchable notes so I could save receipts for large items that I may want to return someday.

  • I would just love to be able to scan it to automatically enter a transaction amount, date, and payee. It would be way more convenient than manually entering it. Hopefully it would be more accurate too, especially for the payee name. Sometimes it comes through my bank with a different name. And it would hopefully stop any weird typos that keeps transactions from matching up.

      Steel Blue Yearling That's a great idea!  I use Wave to save my business receipts for now and the app does that for me.  And that's in the FREE version of the app.  It shouldn't be too hard to add for us paying YNABers...

Honestly, i don't even need them to save an image of the receipt or anything (I could see that being a storage issue that could be time consuming/costly for YNAB to solve). Though I can see why people would want a storage option... I'd just be happy if it would enter a transaction for me.

  • I now live in a small town where most shops only accept cash, and right now my "cash" budget in YNAB is just a huge mess where I constantly lose track of what's happening and I'm used to just reconcile and suppose I've had a few beers and went to the bakery a couple times. The thing is not solved with the YNAB app because in many situations I'm on the phone, chatting with someone, or even without the phone at all

     I think that being able to scan all my receipt once a week without caring about remembering the details will be awesome, right now since there's not the possibility I'm not even motivated to keep track of them, store them in a proper place so I can fill YNAB later, I just found it easier to go "hey 3€ here 10€ there reconcile bye".

      Daniele Hi, I reconcile my cash most weeks and there is usually a small write-off, but over the month if this is less than say £20 I do not tend to worry.  If it is larger than about £20 then with a bit of effort I can usually recall some of the spending.

      I used to have a piece of paper in my wallet and would make notes to help me recall and if I am on the phone I will usually add the transaction as I walk away or when I remember or from the receipt in my wallet.

      I suspect there are a lot of people using YNAB who set themselves a monthly cash budget for small items and do not actually bother tracking them to the transaction level.  You only need the details if you feel you are spending too much that you cannot account for and want to do something about it, but if your unaccounted for cash is within acceptable limits you will not achieve anything either adding them individually or scanning receipts.

  • I was just searching for how to upload / scan receipts in YNAB and found this thread. For my family,  this would be huge.  We are still on our trial of YNAB (loving it so far, but have a long way to go). There are many categories that we overspend on... but I think it would be awesome to not just know we overspent on groceries, but to go back and actually see what specific items are adding up fast that we might not realize at the time of purchase.

      dakinemaui Yes but the point is that if you go too far, the entire money you spent at the supermarket has just one entry. Being able to actually check the bill and go into detail will avoid the overload the month afterwards. I think @torquoise_trombone6  has a point

      Daniele none on my supermarket bills are ever just one entry in YNAB, they are always a split transaction to capture the level of detail I decided upon when I step my categories.  Most supermarkets these days are large department stores so it is very rare we spend against just one category. Costco is a good example.

      Daniele I would also point out that you are justifying having a receipt from which you can split a transaction later. More importantly, you can already do that in various ways at present.

      You haven't made a case for having that receipt *in YNAB*.

      Turquoise Trombone That most of the posts in this thread are listed as “1 year ago” (and they’re actually not only a year old, mine at least is more like 22 months; it’s just not two years old yet) ought to tell you where this sits on the priority list. I would figure out how to use the existing functionality to make the splits you need to make at point of sale. And yes, if you are chronically overspending a category, you should check it and move money before you spend. That’s going to help you stop overspending a lot more than any sort of breakout of your groceries is likely to.

    • WordTenor Thanks for the tips.  I was replying to (one way) how this specific function would be useful. (There are many.)... I already do make the splits, but there are countless other reasons (listed by other users) why adding receipts would be great. I recognize the thread is old, but also figure that feedback is feedback... and maybe, just maybe... this squeaky wheel will get the grease and *ta da!* there will be a receipt scan function available!

      Turquoise Trombone We just got an update about two months ago with  changes to goal functionality that have been promised for four years. I’m just pointing out that I would not get my hopes up, and that if you are wishing for this functionality do do x, I would figure out how to do x without this functionality as it’s not likely to come any time soon.

  • I would love to see this feature! I'm a freelance videographer and I need to keep receipts (1) to attach to my invoices later, and (2) because my business expenses need to be backed up by receipts. Thanks :)

  • This would actually be very helpful for work expenses! I take photos of the receipts when I purchase things but sometimes I've lost the picture/can't find it/can't remember the details BUT I do always populate YNAB and fill in the memo. So every period I could find all my expenses (I have a category for that!) and have the pictures right there when I go to claim them (my company requires I send a copy of the receipt for reimbursements). Most of my expenses are small so anything that  makes it easier to remember to claim them is really helpful!

  • I'd love this for tax purposes. At tax season we love exporting the YNAB register to sum up our business expenses, but it's a big hassle to make sure we have all of the receipts. If we could store the receipts in YNAB, that would be amazing.

  • I learnt many years ago,  in various painful ways, that you just have to keep copies of receipts and invoices, at least for significant purchases. You can do it in a filing cabinet or even in a cardboard box, but I always found myself having to look through a pile to find any particular one. Organising when filing was too much time and something I rarely got around to later. 

    On the computer is better as it can search much quicker than me and I now use Devonthink, which can render scans into text and records date entered and other metadata (e.g. Payee), imports from email too and which allows me to find things that are many years old in milliseconds (e.g. allowed me to claim discount for YNAB subscription when my old copy of YNAB4 is very long gone). It also allows me to keep and find manuals instruction leaflets etc. I bought Devonthink for research (work) but soon realised it can store almost anything well.  I have used Keep It and Eaglefiler at various times in the past. Not as good, IMHO, but much cheaper and they worked for me with receipts and invoices.

    I can see the sense in a quick phone photo to attach to a YNAB transaction (strike while the iron is hot) but I'd want to be able to export it to my system for long-term storage.

  • Budget accuracy. 

    I'm horrible at recording my transactions before I leave the store. A lot of my transactions are slipt categories in my budget. When I am reconciling my budget with my bank account I often question home much did I actually spend on that item? Currently, my receipts are stashed in a dark corner of my house where they are forever lost until I need to return something or tax season comes along. If I could link my receipts to my budget and therefore my bank account, I could better manage them. Plus when the receipt fades I could still return something. 

    Technologically speaking it is not that hard to add a camera button to the add a transaction process already in YNAB, as mentioned above. 

    I get that YNAB is for planning, but part of planning is knowing how much you have actually spent.  Sales tax already makes life hard, make our lives easier YNAB, you have plenty of people asking for it.

  • I know I have commented before, but if YNAB goes down this path, please don't charge extra.  Make it a paid for extra feature for those that want it.
    I use YNAB to budget, if I want to keep the odd receipt, I have many other ways of doing so.

  • Hi I would really like this, the reasons are as follows:

    1) We are travelling around Australia in a Caravan so space is of a premium, so not having to store physical receipts would be great.

    2) Most of the printed receipts nowadays will fade very quickly - especially in Australian heat. So they just end up a white piece of paper with no details. No great if you want to claim warranty repair or replacement. 

    3) As previously mentioned if I could access against the transaction the copy of the receipt I can use to make warranty, returns or repair claims. Some warranties are for 5 years, so need to keep track of these - without having a physical copy.

    4)  It would give me greater details as to what I brought - mainly for bigger spends. I wouldn't store if for everyday things like fuel and food. 

    5) Finally for tax returns if I need to make a deduction for say cleaning or clothing for work I have the receipts to prove it. In Australia you need to keep tax documents for up to 7 years in case you are audited, so having them attached to a program where I can easily locate them would be great. 

    Hope that helps. Suffice to say I would really love to have this feature added YNAB. :-)

      Bimbles The ATO has a specific app for deductions that can then be used to assist with your tax return in myGov. 

      Also is now only 5 years that you need to keep your documents for after lodging your tax return.

  • My favorite scans are groceries. So I can look at what I am buying, paying and what items are common to buy in bulk. Same goes for household, DIY and such. Seeing that I spent $287 at costco is all I need to budget but knowing what I spent it on over time is more proactive IMHO. I see things that my memory and 'gut' doesn't

      Nicole That makes literally actual no sense whatsoever especially since the company tried to shut down feature request discussion last year. 
       

      Shall we start a feature request discussion thread for each of the other feature requests? I am taking from this reply that such threads will no longer be closed?

    • WordTenor Since this was a call for opinions directly from our CPO and the feature is still being considered for future implementation, the thread will not be closed.

      We haven't closed any recent feature request threads but we haven't officially changed our stance on them. Let's hold off on that call for thread ideas for now. The Feature Request form is still the best way to get them in front of the development team, but we'll take another look at this in the coming week to see if our approach to feature requests should be updated.

      Faness I will follow up in one week and anticipate a real policy. 

      I really do try not to be a jerk and be useful here. But y’all give me whiplash about this stuff. If it’s not okay to discuss feature requests because they should go in the request form, then certainly a TWO YEAR OLD thread should be closed and the main post updated. That’s just good forum moderation and good business to boot.

      The other major software I use where I am very active in the user community is Canvas LMS. YNAB could learn a lot about how to do a tech support/user to-user support/feature implementation system from them. They do it very, very well.

       Maybe try a little harder? Obviously you care, but even your caring comes across as threatening and less than helpful. Theres two of you on this forum that look like youd rather be a thorn than a rose. Until YNAB is publicly traded, I dont think theres any reason to get so caught up in how it's run. Theres always room for improvement, but unless you work for them it's not your job to try to force those improvements down their throats.

  • At the moment, we aren't able to incorporate receipt scanning into YNAB. We spent a cycle inquiring about this option, but the technology just isn't there at the moment for us to work receipts into YNAB's current design. We've gone back to the drawing board on this but we aren't removing it from our realm of possibilities. It's going on a back burner for now, but once we have more utensils in the kitchen to work with we'll try putting it back on the fire. ;)

    Since we do plan to revisit this at a later date, we're still collecting any feedback, ideas or suggestions you'd like to share! If you have a moment, you can submit a Feature Request to pass along any details you think we should know about!

       I have been using YNAB for awhile now, and the team seems to be fairly business savvy. So adding the comment to submit a feature requests, IMO, to be ignorant and condescending. 
       

      you already know this feature is NEEDED by the self-employed and small to medium sized businesses. If your going to create blog posts, YouTube videos, and advocate that it can be used for business than do your part and figure it out.

       

      personally, I hate hearing that you’ve put this on the back burner because you couldn’t figure it out. YNAB competitors have figured it out - so one of three things are going on: 1) you have lazy developers - not likely because of the current product; 2) you are not willing to pay for the costs associated - development, maintenance, and/or storage costs; 3) YNAB just doesn’t care - check out the google YNAB extension. Regular people were able to come together to make YNAB what it should be.

       

      I love what YNAB has done for many people, but the YNAB response is both childish and a shovel full of BS.

      You choose to use a product based on its functionality and roadmap, if that does not suit then you can lobby constructively for change, but if at the end of the day the product owner chooses to not to implement something and you feel so strongly about it then it must be time to move on to one of the competitions that has figured it out.

      Faness and Todd Working in IT I know that introducing receipt scanning is complicated on multiple different levels beyond just development. I appreciate the update you have provided. Some items of importance for me as some others have already mentioned. Also adding other items to see if people have a more detailed opinion.

      • OCR capability (Index/Search receipts)
        • If too costly then additional tagging functionality for receipts would suffice for a majority of situations
        • I personally do not want it to OCR in a way to read information from the receipt and populate the fields when adding the transaction. I do not think that is a need for the complexity required and numerous issues users will run into of the app not being able to read the varying company logos and shades of text. However, I do believe having the receipt be converted into a PDF and OCR'd and indexed so that it can be searched later through the web would be very helpful. (This would happen behind the scenes in a queued or scheduled method.)
      • Retention
        • What would the ideal retention periods be for receipts? I agree with  Steel Blue Admiral (b53ea79d2e09) for storing receipts for insurance purposes (photos of personal belongings only help so much during tragedies). Meaning that I would want to keep the receipts at a minimum of 10 years in my opinion. However, arguably longer for large purchases.
        • Would we need to pay additional money for storage tiers?
      • Feature Real Estate
        • The feature should take up as little real estate as possible. Depending on how much space is needed in the mobile app for example maybe the feature can be turned on/off for people that may not want it to take up space on the mobile app.
      • Digital vs. Original
        • In my experience having the digital copy is enough. Some retailers yes, will need you to print out the digital copy but that should be an easy task. However, retailers usually cannot deny a return for not having literally the original paper receipt. All of the information as long as it is readable on the receipt and thus can be looked up in their computers if a retailer wants to verify the receipt.

      I am sure there are more items I can think of and I hope more users will chime in on my post in a more detailed manner.

       Has YNAB compiled all of the different suggestions and surveyed paying users to gather further insight on what features are important to users? It would be interesting to understand not only what features are 'popular' related to uploading receipts into YNAB; however, also the behavior of what users expect for uploading receipts.

      Thank you for taking the time to add your feedback here - it's a great help! Currently, our development team is working on a revamp of the mobile app, so introducing new mobile features has been put on hold (it didn't make sense to release new features, revamp the app, then have to re-code/modify those new features). 

      In the meantime, we're keeping our ears open for details on exactly what you mentioned - how YNABers would like to see this feature perform once available. We do know YNABers want this option, but the details on how they'd like to see it implemented and behave are helpful as we plan for the future.

      The feedback in this specific thread has been reviewed by our Design Team and submitted Feature Requests are coded for reference during discussions about certain features. I can't make any promises, but this is something we hope to make headway on at a later date! :)

  • My wife and I have been YNAB users for years for our personal budget. I just starting using YNAB for my new start-up business (one-man operation).

    For my needs, I'd like the ability to photograph or upload a picture of a receipt for EVERY. SINGLE. BUSINESS. TRANSACTION. This would be helpful come tax time.

    I'm now trying to figure out how to best manage my online bank ledger, receipts, and YNAB to file my receipts. Currently, I'm physically printing all my receipts, making notes, and filing them in a drawer. Photo attachments (or similar) would sure make things more efficient.

  • I hope I am reading your post correctly -

    If you only want an electronic copy of the receipt, why not us your phone? U can capture it when you get it or all of them when you return to the office. The 'TOTALS' numbers would come in and out over time via your accounts (ynab) you use or your accounting software (ledger) that the business uses. Or just store the receipts in a folder and use the memo field to identify transactions. If you need a full service accounting program see manager.io on the web - free and even does payroll. For next year when you are hiring, of course.

    To record line items auto-magically would take a portable or desktop scanner with good software that retails in the $200+ range. Then they would go into ynab as imports.

    There are image scanning programs out there now using AI (excel) to scan both pdf and img files but they can cost time to straighten up. Look for OCR extensions or tools like the one in irfanview, which does a passable job on receipts.

    Also that company I lifted up as a banner of how to run a user-driven, but company present interactive support forum? Is Canvas, the LMS used by tens of thousands of universities across the US. They are getting SLAMMED right now as all of us put our courses online. And they are responsive, clear, and are using this as an opportunity to learn what we need. It is an absolute model of how a forum like this could be run.

      iwaddo Simple. I like helping people use YNAB. And I like YNAB, and I think the crew which support it can do better than they are doing and I would love to see them do that. Since there's no private way to ask these sorts of questions (all of the staff have their PMs turned off), I wind up having to be more publicly confrontational than I'd prefer to be. But if they don't want to come back in a week to update us, it's appropriate to ask again. 

      Thanks for the update, @Faness. You'll note I did not start a thread asking for people to start feature request threads, but I will suggest that perhaps people open a thread for robust discussion when they ask about one. One very useful purpose such threads show is a record of how long a feature has been being requested, which gives a new user some indication of whether or not it is a priority. That is very useful information.

      WordTenor Helping people use YNAB is great, criticising the forum is not, I think it does a great job.

      Having a place to lodge and track feature requests would be great but I think a small number of the more vocal users will be frustrated when the top requests do not get implemented.  It is clear that YNAB is here to serve a purpose and just because a small minority of users want a different purpose does not mean that YNAB should change.

      I think many people on the forum lose sight of the purpose of YNAB. It is to help people with 'short' term money issues learn to budget and improve their financial future and it does that extremely well for so many people.

      YNAB  is not and should never be a business management package and putting in receipts into the current offering is such a bad idea for so many reasons, I for one will be voting against it.

      Beanorama Providing an opinion regarding how to better the forum is not abusing it. The fact is this thread and indeed the entire forum is NOT for feature requests.

      If you have an urge to add a "me too" vote, the official process is to make a Feature Request.

      It's precisely because so many people continually misunderstand this that WordTenor occasionally speaks out.

      Again, a "me too" in this thread does NOTHING. It's effectively a DEAD THREAD for that reason.

      But there different ways of expressing an opinion and some are clearly less helpful than others.

      iwaddo I'm guilty of that on occasion as well. All we can do is strive to a) be better and b) assume the other poster is intending to be helpful and not take things so personally. Indeed the Community Guidelines that YNAB recently reposted say much the same.

      iwaddo I agree - I thought this was a personal finance tool, not business accounting software.
       I read the arguments for this, none have managed to to convince me.  I have said it before in this thread that I do not want to pay for this feature if implemented.  So if it does go forward, I hope the subscription price is not increased to cater for it.  I really hope they take notice of this kind of feedback.  I know they don't want to have different subscription prices based on feature being opt in or out, but in this case I think they should.

  • My current position on this issue is that Onedrive document upload from my phone does a great job of PDF receipts for me. We no longer need hardcopies so I can snapshot it and chuck the receipt instantly.

    Scanning receipts in YNAB would only be helpful if I can export a complete expense report with receipt attachments for my selected transactions.

  • I think it would be really nice to have the option, specifically for those larger purchases.  For the every day receipt, not sure.

      Doug Most of my larger purchases are receipted by email in someway and for the small number that aren't I can photo\scan and dump in a folder.  This way I am not dependent on YNAB should I wish to try an alternative package.  Exporting transactions and importing them into something else is conceivable, adding receipts to this makes it quite inconceivable.

  • I would love this for tax purposes. As a freelancer, having my expenses tracked as deductions with receipts in case of auditing would be great.

  • I recently switched from Expensify to Veryfi for my OCD tracking and saving of receipts.  Although it costs a little (they gave me a discount off their lowest price annual plan; Expensify is free for personal use), the UI/UX and functionality is much improved and completely meets my needs for receipt scanning, archiving and reference.  I'll use Veryfi for now until YNAB gets a proper receipt attachment feature.

     

    The only issue I have is with the bank feeds -  I keep having issues with conflicts in MFA for two of my banks between YNAB and Veryfi - I suspect that both apps are using the same back-end feed provider, and whenever one pulls data, it overwrites the saved "cookie" MFA token from the other, causing me to have to authenticate again.

  • We would definetely pay for this added feature.  We've been using YNAB for many years and love most of it.  However, recently, we converted our entire house to digital (all of our paperwork, pictures, etc).  The last thing we're trying to figure out is the receipt portion.  I always try to get an electronic receipt at the store, but lots still don't do that.  I also do lots of returns and sometimes get reimbursed at work.  I want to be able to pull up a receipt and show it at a store for a return or send it in for reimbursement, if needed.  Now, trying to find a separate app, etc to do this is going to be time consuming and wasteful when I already pay for a service to work with my money.

      Orchid Falafel No where did YNAB say they were going to add this feature so I'm not sure it's fair to say there has been no progress.
